MDoffice Online is a new way of providing software that takes advantage of the ability to connect to the world through the Internet. It offers an alternative to traditional service where you buy software applications outright for computers located in your office. It gives you lower cost, is easier to implement and maintain, and reduces your network administration. You pay MDoffice a monthly subscription fee. With a minimal investment and predictable monthly fees, you improve the flow of information in your practice and increase productivity.
MDoffice Online is an ASP (Application Service Provider) system that lets you gain access to medical software without needing to buy and install it. You access the software over a secure Internet connection.
MDoffice Online is simply another way of accessing and using medical software. Instead of installing MDoffice at a dedicated server at your office, MDoffice Online is remotely installed and managed at a central datacenter. Physicians and office staff use a secure link—called a virtual private network or VPN—to connect to MDoffice. You get all of the features of MDoffice without the need to install the software at your own site.
MDoffice Online consists of Registration, Scheduling, Charting, Billing, Accounting and Reporting. It's exactly the same as MDoffice that is installed in-house at a physician’s office.
Yes. One of the advantages of MDoffice Online is that you are receiving the identical application as our client-server users. There is no compromise in the functions that you get.
You do. If for any reasons you decide to discontinue the service, you can request to have all your data sent to you on a CD so you can print out all information on paper.
Yes. After completion of the first year of service, you have the option of buying the software. In addition to the software and support fees, there will be a fee for conversion of your data from our data center to your local server. Some additional implementation fees may apply as well.
Assuming that hardware and networks are installed in a timely manner, implementation should take about 4-8 weeks from contract signing to go-live. After signing the contract, going live basically involves three steps:
- Purchase and installation of local hardware and networking services. You install it with our advice.
- We have to configure the software at our data center.
- Our staff provides on site training.
We base our fees on the number of physicians in a practice. The monthly fee per physician includes user licenses and software for a specific number of workstations. We charge extra for additional workstations per physician. Besides the software, the monthly fees include all software updates, technical support, and computer administration—backups and backups and routine maintenance.
MDoffice Online requires a minimum commitment of one year, after which you can quit without penalty. If you terminate, we return patient data on a CD. If you decide you want to run the application in your practice, you can convert from MDoffice Online to an MDoffice in-house client server.
No up front cost for software. All you pay is a monthly fee for data hosting, updates and customer support. You don’t have to buy or install updates. Best of all, you never pay for a program update again.
In a "Hosted Application" the software and practice data reside on a system outside of the office. You pay by the month instead of up front. You use the Internet to connect to the host computer of MDoffice Online. We use a new technology that sends screen content only across the Internet. This process, called "Thin Client" computing makes sure that only a minimal amount of information is sent across the Internet. Typical screen access time is less than one second! Since all calculations and computing are done on a high speed computer at the other end of your Internet connection, it doesn’t matter how fast your office computers are.
Every practice is different, so there is no quick easy answer to this question. Some offices switch to MDoffice Online simply because they are tired of the hassle of buying updating their hardware and software. Others like it that their data is more secure than when it was located in their own office. But the most common reason of all in the long run, it’s less expensive.
One of the advantages to MDoffice Online is that it is MUCH FASTER than most of our competition! Even though we are faster, is that fast enough to be practical? YES! Because we use the Internet, we are sending only the pixel changes to the screen. This technology—called "thin client" because so little information is actually coming across the Internet—allows us to have screens appear almost instantly, even if you don’t have a high-speed connection to the Internet. We do the processing on a high-speed computer at our hosting site, not in your office. Your system is free to do nothing but display and print information, so in many cases it operates with greater efficiency and speed than if you installed the software on your own computer!
MDoffice Online makes continuous back-ups of all your data. You won't have to do back-ups ever again. We do it for you at no extra charge every day and send you a CD every month with your critical data.
Your data are more secure than when they are stored at your own office. If a thief breaks into your office, your computers are obvious targets. Computers, like paper records, can be ruined in an office fire. With MDoffice Online, your patient data is safer than it ever has been before. If your system is stolen or destroyed, you can still access your practice data from any computer with Internet access. We also guard your data from unauthorized access. No one can access your data without having a proper login ID and Password that you can change as often as you want. Information is passed across the Internet in a secure encrypted format that no one can intercept. In addition, physical access to the hosting location is secured through a high-level on-site security system.
We take precautions to make sure our host computer remains available at all times. A backup power generator and, mirrored multiple servers are in place in case of any hardware failure. The equipment is protected by a both an uninterruptible power supply and a backup power generator and fire protection. The systems are located in a temperature-controlled room in a protected environment. Data backups are made automatically, and the host computers are placed in a secure, restricted access location. Practice data is given more security than any physician could ever provide in his own office.
You will not experience downtime because your software isn’t functional. The software is available for your use 24 hours a day, 7 days a week. Other things outside of MDoffice Online's control may cause you to experience some down time. If your computer fails and you don’t have another computer, you won’t be able to get on the Internet. Local Internet Service Providers (ISP) may occasionally become unavailable. For this reason, it is important to select an ISP known for reliable Internet access. You may also want to contact us for help in selecting a reliable ISP in your area.
There is NO UP FRONT COST. All you pay is a monthly hosting fee and a per claim fee for your electronic claims. Payment is made either a year at a time in advance or on a monthly basis by credit card or paper bank draft.
There are only two requirements for your hardware: The computer has to able to access the Internet and must be able to display in color, 800 x 600 resolution—so you see the entire MDoffice Online screen at once without scrolling it up or down. As long as those requirements are met, you can use MDoffice Online. There are no hard disk or memory requirements. In fact, you can even use an inexpensive "thin client" terminal. We recommend the use of a laser printer, however any Windows compatible printer can be used.
You can have as many workstations as you want. Each workstation that you access simultaneously with other workstations will cost extra. We recommend that you use the services of a qualified network technician to set up your local area network with a proxy server for shared Internet access. Keep in mind that when you add more workstations to a local area network, performance is degraded somewhat. This makes it especially critical that you have an efficient connection to the Internet when workstations will be in use.
We require that all MDoffice Online users connect to the Internet via a DSL or cable broadband connection. The new digital cable modems or DSL modems provide for continuous broadband access to the Internet at a speed that rivals programs running on a local computer.
Yes. One of the big advantages of using a hosted application like MDoffice Online is that you can enter information into the office system all day long. You can access the same data from your home computer that night or a satellite office or even a hospital. Anywhere that you can get on the Internet can be your office. If you have a handheld computer with wireless Internet service, you can access it from a baseball game.
MDoffice Online is MUCH FASTER. There is a big difference between a hosted application and a web-enabled application. Most of our competition uses a "web-enabled" program. If you have ever accessed the World Wide Web and sat impatiently waiting on a screen to come up, you are familiar with the frustration of waiting 15 to 30 seconds each time a new screen is displayed. This type of delay is typical of a "web-enabled application". These programs, typically written using JAVA or HTML, require that the actual program that controls each screen be sent to your system each time a screen is accessed—in addition to the patient data that you want. This much larger block of data that are being sent causes greatly reduced performance on a web-enabled application.
MDoffice Online functions in exactly the same way as our in-house version that you can buy for installaton on computers in your office. The package has matured and for years has been widely recognized as one the easiest, yet powerful practice management and medical records programs on the market.
In most cases, yes we have successfully converted practice data from many of the common practice software programs in the past. However, some programs encrypt their data in such a way that it is difficult or impossible to extract patient information for export to another software program. If you would like to switch from another software program and have your data converted, we can do a partial test conversion. If you are satisfied that we can extract a good set of patient data based on what results you see, then we convert the data set for the whole practice and you pay for data conversion at that time.
