MDoffice uses central records to track and manage patient demographics, insurance claims, referrals, authorizations, schedules, cases, claims and chart notes. You can register patients quickly by easily identifying and tracking their current billing information.
Through quick, efficient data entry forms, you can gather a patient’s information painlessly, getting immediate, secure access to all financial and clinical records. You can track and record patient data confidentially through notes, phone logs, family linking, employer information, and insurance referrals and authorizations.
Patient information is a combination of your patient’s chart (medical history) and ledger card (billing history). You track clinical information and charges separately; when clinical information or accounting charges change, billing is simplified.
The Patient Folder is the central hub for managing the complete current and historic information of your patients. Each Patient Folder contains tabs and forms holding the data you need to properly bill an account as well as check a patient’s medical and account data, including history of claims, appointments and family members.
MDoffice shows patient and family balances, with or without pending insurance. Before entering a new patient, MDoffice warns the operator of duplicate social security numbers, birth dates and last names.

Patient Drawer
Intuitive searching makes it easy to quickly find, view and select any patient’s records. You’ll see a scroll of all your patients. You can search for a patient by name, Account ID, Chart ID, DOB, MRN, SSN, home phone, work phone, cell phone, city plus the information you need to quickly and correctly find the right patient, zip code, or policy ID. MDoffice zeroes in on patients as you type, identifying your patient with a minimum of keystrokes. After you identify your patient, you can view and perform all other account-related activities.
Patient Registration
You go to the Patient Registration tab to find most of your patient’s demographics, plus information about contacts and alerts that you need to quickly book appointments, document encounters, and complete claims accurately. Different doctors and referring physicians for each patient are immediately available when you post changes or schedule appointments. You can also store medical and accounting alerts to warn your staff about special patient conditions or needs such as drug allergies or overdue balances. You can create custom fields to print on letters, statements, insurance claims, etc.
Patient Insurance
The Patient Insurance tab holds all of a patient’s current and past insurance policies, including guarantor details. It organizes complete referral and authorization data required by insurance companies. This is where you enter the policy coverage and benefits so you can accurately complete insurance forms, bill insurance carriers, and submit claims electronically. You can track co-payments, deductibles and benefits, plus coordinate flexible combinations of coverage and benefits for each family member.
Patient Cases
You use the Case Management tab to track a complete episode of care for an injury, accident or ailment, until you resolve the medical problems. A case describes a current or recurring problem that a patient might have. You use cases to record supplemental patient information including reasons for treatment and data needed to no fault auto accidents, worker’s compensation, and personal injury cases. You need this data to complete various forms: HCFA, special occupational, certification, personal injury, and accidents.
Patient Claims
You go to the Patient Claims tab for an overview and detailed billing history for each patient visit. You can see at a glance which claims have been billed and how the bills were delivered. MDoffice claims look like conventional ledger cards and contain detailed histories of all claims plus a summary of balances including charges, payments, write-offs and transfers. You can see at a glance what insurance companies and individuals have paid and what they owe. The software tracks and dates all claims daily, and you can access details immediately. You can reproduce any claim with a click of your mouse.
Patient Ledger
The Patient Leger tab is similar to conventional paper ledgers; it gives you key patient account activity, details and history of financial transactions, and aged patient and insurance balances. You get an overview and a detailed view of a patient’s billing and financial transactions including payment dates. You get a running financial balance of each account; the balance is displayed on all forms so you’ll know what it owed when you deal with a patient.
Patient Schedules

You look in the Patient Schedules tab for all your patient’s scheduled appointments (past and future) as well as recalls and health maintenance reminders. You can quickly add, change or print appointments. This helps you make appointments more convenient for your patients—meaning they’re more likely to be kept. You can track visit requirements months in advance for both periodic and non-periodic health maintenance visits, re-exams, and follow ups.
Patient Ticklers
The Patient Ticklers tab holds all the tasks, messages, orders and reminder history for each patient. Ticklers are a running list of things that need to done and which are falling behind. You check here to find who was responsible for each task, when they completed it, and what remains to be done. The software forwards uncompleted tasks to the next day so that the list stays current.
Patient Charts
In the Patient Charts tab contains the medical and clinical history notes you need to care for your patients. You go to the Patient Charts tab to review progress notes, medications, allergies, lab results, histories of procedures and much more. You’ll always have the appropriate clinical data ready to review. You can fully customize these charts to give you the data that is best for your clinical specialty. You can go to specific parts of a chart to access the information you need. You will no longer waste time waiting for paper charts to be pulled when you need the information quickly. You and your staff can get instant and confidential access to information from various sources when you need it.
Patient Finder
The Patient Finder gives you quick access to a patient’s data when you need it instantly. The screen will give you an alphabetical list—up to fifty names at a time—of all your patients together with their age. You can search for a patient by last name, account ID, MRN, DOB, SSN, home phone, work phone, cell phone or even insurance plan. You’ll also see alerts, so that if a patient is delinquent in making payment, you’ll know at a glance.
